Refund Policy

1. Scope of This Policy

This Refund Policy applies only to the SaaS subscriptions and platform usage fees paid directly by event organizers and photographers to 9Pic AI (processed via authorized payment partners like Paddle, Razorpay, PayGlocal, or Dodopayments). It governs the terms of refunds for accessing the professional features and tools provided by our platform.

Important Notice on Photo Selling

This policy does not apply to the photos or digital assets sold by event organizers to end-users (participants). 9Pic AI does not collect payments for photo sales; those payments are processed and collected directly by the end organizers. Any refund requests related to photo purchases must be directed to individual organizers in accordance with their respective refund policies, as outlined in our Terms and Conditions.

2. SaaS Subscription Payments & Add-ons

  • Billing and Renewal: Subscription fees for event organizers and photographers are billed in advance on a recurring basis (monthly or annually) depending on the selected plan. Subscriptions will automatically renew unless canceled prior to the next billing cycle.
  • Cancellations: You may cancel your subscription at any time through your account dashboard. Cancellation will stop any future billing, and you will retain access to the paid features until the end of your current billing cycle.
  • Non-Refundable Subscription Fees: Except as expressly noted in this policy or required by applicable law, all subscription and platform fees paid to 9Pic AI are strictly non-refundable. We do not provide prorated refunds or credits for partially used billing periods.
  • Custom Domain Setup: For Pro and Enterprise plans, if we are unable to set up your custom domain due to technical reasons on our end, we will issue a refund for the applicable charges.
  • AI Credits: AI credits are purchased on a pay-as-you-go model. All purchases of AI credits are final and non-refundable. There are absolutely no refunds for AI credits that have already been used.

3. Exceptional Refund Circumstances

We may consider granting refunds for SaaS subscription fees on a case-by-case basis under the following exceptional circumstances:

  • Duplicate Billing: If an unforeseen technical error leads to your account being charged multiple times for the same subscription period, we will promptly refund the duplicate charges.
  • Service Outages: In the rare event of a prolonged platform-wide outage that severely impacts your ability to utilize core paid features, disrupting your event entirely, you may be eligible for a pro-rated account credit or a refund. Such adjustments are made at the sole discretion of 9Pic AI.

4. How to Request a Refund

If you believe you are entitled to a refund under the exceptional circumstances outlined above, please submit a formal request within 7 days of the charge date.

  • Your account email address
  • Date of the transaction
  • Receipt or transaction ID
  • A detailed explanation of why you are requesting a refund

We aim to review all requests within 3-5 business days.
